The job today

A Thursday without Jan

09:15

A new colleague asks how we handle a return outside warranty. Jan knows. Jan is in Spain until the 23rd. Three people give three answers.

11:40

Someone finds the procedure on SharePoint. Version 3, from 2023. The current is version 5, in a folder called "final final".

16:30

A colleague pastes a client contract into a free chatbot for a summary. Nobody knows where that text went.

What nobody measures

Two questions for your management meeting

How many questions did your people ask a colleague last week that a document already answered? Which ten people hold the knowledge the firm runs on?

Most firms cannot say. Your knowledge lives in people, and people go on holiday, fall ill and leave. With a co-worker on the job, the answer lives in the document, with its source.

The job with the co-worker

The same Thursday, the answer from the document

  1. 09:15 – Asked where they work

The new colleague asks in Copilot, in plain words. It looks only in the folders you approved and answers with the procedure, version 5, and a link.

  2. 09:16 – Source shown

Every answer names the document and folder. No source, no answer: it says so and points to the topic's owner.

  3. All week – Nothing leaves

The contract summary is made the same way, inside your own tenant. Every question is logged; delete a document and it disappears from every answer.

What you are buying

The rules it works under

Control card Knowledge Answering
Permissions
Reads only the folders you approved. Writes nothing in your documents. Never reads a draft, a personal drive or the open internet.
Approval gates
What counts as approved is your call, folder by folder. Anything client-facing, a quote, a letter, a contract clause, waits for a person.
Limits
Answers only with a source; without one it says so. A ceiling on questions per user per day. Never answers a client.
Record
Every question, answer and source is logged with time and user. Reviewable, deletable; you decide retention and who may review.
Stop
One switch pauses it. A named owner on your side decides. Your documents are untouched; your people ask Jan again.
Data
Stays in Europe, in your own tenant. Never used to train anything. Which assistant answers, through which provider, is your choice. Sub-processors on the Data page.
Transparency
Every answer is marked as prepared by the co-worker, with its source, as the EU AI Act requires since August 2026.
The demonstration

Ninety seconds, your SharePoint, one question

One question, from Copilot to the source document, in your own tenant.

See it on your own SharePoint — book 30 minutes
  1. 01The questionA question in Copilot or Claude Desktop, in plain words.
  2. 02The answerThe answer, with the source document and its folder. Version 5, not version 3.
  3. 03The logEvery question and answer on record, reviewable, deletable. The gaps show what to write next.

What we measure

Three indicators, monthly. No figure here until we have measured one.

  • Answer rate the share of questions answered from an approved document, with a source.
  • Gaps questions with no approved source, by topic: what to write next.
  • Time to answer seconds from question to sourced answer.
Before we build

What we need from you

  • The folders that hold your approved knowledge, and per folder who decides what is final.
  • Read access to your SharePoint or Google Drive tenant.
  • Twenty questions your people asked last month, so we test with real ones.
  • The rules we agree in the diagnostic: what is approved, what is client-facing, who holds the switch.

Works with

SharePoint and Microsoft 365 first, Google Drive next. Through Copilot, Claude or ChatGPT, whichever your people use.

Investment

Ten weeks, a fixed fee, yours

  • Time to live ten weeks from the signed scope and price.
  • Fixed fee set in the signed scope and price before we build.
  • Managed service optional, monthly. We run it, watch the log, adjust the rules with you. You keep control.

Three questions about this job

  1. We already have Copilot. Why this? Copilot answers from whatever your people can reach, drafts included. This answers only from approved folders, names the source and keeps the record.
  2. What if the document is wrong? Then the answer is wrong, source shown, so someone fixes the document once. That is what the source is for.
  3. Can clients ask it questions? Not this co-worker. Client-facing answers go through Customer Service, with a person approving.
Business case 5

Which question did three people answer differently last week?

Thirty minutes, no slides. Bring one folder and ten real questions; we show what it answers and where it stops.
